Position: 
The Office Administrator facilitates the platform and processes upon which the AE team performs. This person develops trusted-partner relationships with AE leaders, proactively manages office functions, hospitality services and associated documentation, coordinates work done by vendors and contractors in areas such as building maintenance, food service, and stocking of office and café supplies, assists with physical space readiness, including office spaces and furnishings, and performs various projects and duties as assigned.

 

Responsibilities:

  • Develop trusted-partner relationships with AE leaders resulting in repeat work requests

  • Participate in performance reviews, training programs, and personal development

Coordinate: Manage | Oversee

  • Provide oversight to vendors performing various services relevant to office administration (e.g., office supplies, maintenance, janitorial, equipment, events, office furnishings, food service, etc.)
  • Coordinate office spaces, office organization, and office readiness
  • Monitor and manage general office email box
  • Oversee the availability of marketing materials to team members
  • Communicate clearly and effectively with team members and the general public
  • Document tasks and task status regularly
  • Plan or assist with planning team relational activities and events

Conduct: Perform | Complete

  • Support Executive Leadership
  • Prioritize in a fast-paced environment. Effectively complete tasks under short time limits
  • Sort and distribute mail
  • Answer, screen, and transfer general office email box and phone calls as appropriate
  • Maintain documentation of administrative processes
  • Perform physical activities including walking, sitting, standing, bending, talking, hearing, and periodically moving or lifting up to 50 lbs. Use hands to operate objects, tools, computers, and other electronic equipment. Perform visual activities including close vision and adjusting focus
Professional Qualifications Desired:

  • 2-5 years of experience managing projects, vendors, and general administrative work
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
  • Experience with Box or other cloud-based software
  • Strong organizational and time management skills
  • Ability to prioritize, adapt, and change
  • Analytical with strong problem-solving skills
